Collaborate and manage projects with Todoyu

7. Add role
To add a new role, click on the Admin icon, then click on the Create button and choose New Role. Give the role a name and provide an optional description. Tick the Active button to enable the role. To add an existing user to the role, press the Role Members button and select the user you want from the Person drop-down menu. Press Save when you are done.
8. Define rights
Next, you have to specify rights for the created role. Click on the Rights tab and select the role. Use the Extension drop-down menu to choose the modules you want and specify rights for each of them by ticking the appropriate checkboxes.
9. Edit records
You should also modify so-called extension records such as Project Roles, Work Types, Job Types etc. To add, for example, a new work type, click on the All Records item in the Admin Modules panel, then click on the Edit icon next to the ‘Project And Task Management – Work Types’ item. Click on the ‘Create new work types’ icon and add a new work type.
10. Add company
The next step is to populate Todoyu with companies and employees. Click on the Create icon and choose New Person. Enter the person’s name and description, then press the ‘New Contact Info’ button to add company contact information. Select the desired field type from the ‘Contact Info Type’ drop-down menu and fill in the field. Use this procedure to add as many fields as you need. Then hit the New Address button to add a company address.
11. Add employees
To add company employees, press the New Employee button. If the employee is already in the system, you can add them by typing their name in the Person field. To add a new employee, press the Add New Person button and fill in the ‘Add new person’ form. Hit Save when done.

When adding a new person, you can grant the login privilege by ticking the Enable Login checkbox and specifying login credentials. If you want to grant the person administrative rights, tick the ‘Is Admin’ checkbox. Alternatively, you can assign the person a specific role using the New Role button, which automatically grants him or her the rights associated with that role.
13. Todoyu interface: Portal
Before you start using Todoyu, let’s take a brief look at its interface. Todoyu’s window features five top-level tabs: Portal, Projects, Planning, Contacts and Search. The first tab – Portal – acts as a dashboard that provides a quick overview of filtered project tasks, to-dos, feedback and calendar entries (Fig 1).
14. Todoyu interface: Projects
As the name suggests, the Projects section is used to view and manage projects. As in Portal, you can filter projects using the available filtering options. The Search field can help you to quickly find a specific project.
