Managing Documents with the Zimbra Collaboration Suite

by Sukrit Dhandhania

Find out how to create, edit and manage docs using Zimbra Collaboration Suite…

11 Adding a spreadsheet to your pages
To add a spreadsheet to your page, click on the Insert Spreadsheet button in the Documents menu. It is located next to the Insert Table button. This adds a six-column spreadsheet to your document. Now you can add data into your spreadsheet and format it the way you like. Remember to delete the extra rows and columns to make the spreadsheet more presentable.

12     Adding attachments to your pages
You can add file attachments to your documents. In the Documents menu, click on the button that looks like a paperclip. This will pop up a window that looks like the one in the image below. Click on Choose File to pick a file and upload. A hyperlink to the attached file is displayed in your document.

13     Insert an image
Like file attachments, you can also insert images into your documents. It helps make your documents more presentable when you include some illustrations. To do this, click on the Insert Images button in the Documents menu. This will pop up a file upload menu. Pick the image you want to upload and click OK to upload it. The image will then be inserted into your document.

14     Insert weblinks
You can add links in your documents. These links can be to pages on the internet, or Pages from Notebooks. The links can be text, or you can insert an image and convert it into a link to a document or a website.

step1515     Collaborating with Zimbra Documents
A really cool feature of the Zimbra Collaboration Suite is its built-in ability to allow users to collaborate. This feature is also available in Zimbra Documents. You can share your Document Notebooks with other users. At the time of sharing, you can set the level of permissions you want to give the user. You can give this user read-only access to the documents in the Notebook, or you can allow him/her to edit the files. You can even invite a user who is not registered with your Zimbra setup to view the file over the internet.
