Managing Documents with the Zimbra Collaboration Suite
Find out how to create, edit and manage docs using Zimbra Collaboration Suite…
05 Creating documents
Once you are done creating a new Notebook, it’s time to create a document in it. So select the Notebook you created and click on the New button in the Documents menu. This will take you to an editor’s interface and Zimbra will create a new document for you called Page1. Documents are referred to as Pages in Zimbra.
06 The Zimbra Documents editor options
You can add and edit content into your new document using one of two editors. Zimbra Documents provides you with a Rich Text editor as well as an HTML editor. To gain access to these options, click on the Format button in the top-right corner of the editor.
07 Editing with the HTML editor
The HTML editor provided by Zimbra is a very simple little text box, with no editing options at all. It’s only recommended for the brave. This interface allows you complete control, provided you know what you are doing. If you are comfortable writing HTML code, this may be a pretty useful option for you.
08 Editing with the Rich Text editor
The Rich Text editor comes with a menu full of option buttons. You can format the text you enter and the font, the font size and the text colours. You can also choose from a host of text styles and background colour options. There are also buttons to help you create links to other pages and insert images in your document. Once you are done editing your document you can click on the Save or the Close option under the Documents menu.
09 Adding a table to your page
While editing the content in your documents, it can sometimes be useful to add table and display data in an organised manner rather than in flowing text. To add a table, click on the Insert Table button in the Documents menu. You will then see a grid pop up, allowing you to select the size of the table that you want created.
10 Table properties
Once you have added a table to your document, you can click anywhere in the table and then click the Insert Table menu button again to edit the table’s properties. Here you will see a number of options appear, including Table Properties and Cell Properties. Click on the Table Properties option. You can now set a title to the table, change its width, background colour, the text alignment and more.
