Keep tabs on your projects with GanttProject

by Dmitri Popov

Learn how to monitor your projects with ease using the GanttProject project management tool. All you need for this tutorial is the GanttProject application available from ganttproject.biz…

17 Manage resources
The Resources section provides a quick overview of all the project’s users and the tasks assigned to each user. The timeline on the right gives you a visual overview of the user’s workload, and the colour codes let you quickly identify resource overload and availability.

18 Identify resource overloads
The colour code and the resource utilisation value in each task give you an indication of the given user’s workload. A green colour code and a resource utilisation value of 100% or less indicate that you did a good job of assigning the project tasks. A red colour code and values beyond 100% are a clear sign that you gave the user more work than he/she can handle.

19 Keep an eye on vacations and days off
The Human Resources window lets you specify days off and vacations for a specific user. These data are shown on the timeline as a yellow bar, making it easier to keep an eye on
the user’s availability, and adjust project planning accordingly.

20 Export project data
Using GanttProject’s export capabilities, you can output the project data in a number of formats, including PNG, HTML, PDF, CSV and even a format compatible with Microsoft Project. You can use the Project>Export command to export the current project in any supported format.

2121 Configure FTP settings
GanttProject allows you to publish the exported PNG graphics files and HTML reports to your website via FTP. But before you can do that, you have to configure the FTP settings. Choose Edit>Settings, go to the FTP section and specify the required settings. When exporting project data, tick the ‘Publish files on FTP’ checkbox to upload the resulting files to your website.

22 View the HTML report
If you choose to export your project data as an HTML report, GanttProject generates a set of HTML pages with embedded graphics ready to be published on the web. While this feature is rather limited by today’s standards, it does give you the ability to share essential data about your project with other users.

23 Configure CSV export
Using the CSV export format, you can export the project data as a comma-separated plain text file. And the CSV section of the Settings window lets you configure several CSV export settings such as the field delimiter and the fields you want to include in the export file.

24 Use WebDAV for project collaboration
Besides the described export options, GanttProject features the ability to open and save project files stored on a WebDAV server. This feature lets you seamlessly collaborate on a project with other users. Opening or saving a project file stored on a WebDAV server is as easy as choosing the appropriate command from the Project>Web Server menu.
